CRM to Finance: Sales Order AR Posting Without a Shared Ledger

Quote-to-order lives in CRM. Receivables live in Finance. They should connect without one shared ledger database or a monolith deploy.

Guide: Finance buyer's guide · Quote-to-order

The handoff

CRM: Quote → Sales Order (approve / ship)
↓ posting intent (webhook / service link)
Finance: AR Invoice → Payment → GL

Each product owns prefixed tables. Platform registers service links; Finance validates entitlement before accepting intent.

What carries over

  • Customer reference from CRM contact/customer record
  • Line items and amounts from sales order
  • Payment terms configured on CRM order or Finance defaults
  • Shipment/invoice status triggers (when both products configured)

What does not happen automatically

  • Inventory reservation from SO (not documented complete)
  • Multi-entity consolidation
  • Fixed asset capitalization from order lines

Validate in discovery — do not assume ERP-complete automation from scaffold.

Configuration checklist

  • Finance and CRM SKUs entitled on tenant
  • Service links registered on Suite Platform
  • Posting rules agreed (ship vs invoice trigger)
  • Staging test with sample SO before go-live
  • Idempotent webhook handlers for retries

Manual path still works

Finance runs standalone: manual AR invoices, journals, and payment application without CRM. Link when sales volume justifies automation.
